Practice Manager
We are searching for a practice manager to lead our three-doctor mixed veterinary practice located in Caldwell, TX. The ideal candidate would help direct the staff to deliver excellent, compassionate, and professional care to our clients and patients. If you are someone who enjoys working with people and their various animals, has excellent business and organizational skills, and manages time well, we would love to welcome you in.
Location info:
Caldwell is a small but rapidly growing town about 25 miles west of Bryan/College Station TX. It is a quaint little town with nearby farms and small ranches, excellent for relaxed country living but still near to essential city services. The town is known for is distinct Czech heritage and is home to the annual Kolache Festival, drawing ten times the local population to the event. We are nestled between Austin and Houston, both about 1 1/2 hours away. Texas A&M University is only 25-30 minutes away. The population is about 4500. Key Responsibilities
- Staff Management: Culture development, daily scheduling, coordination, and execution of all staff tasks including hiring/onboarding, disciplinary action, payroll, inventory management, and lead monthly meetings. Able to motivate and coordinate the group to obtain a common goal.
- Staff Supervision: Manage and mentor clinic staff, including receptionists, veterinary technicians, and assistants. Conduct performance reviews, training, and team development.
- Financial Oversight: Monitor the clinic’s budget, manage financial reports, and ensure fiscal responsibility. Work with accountants to maintain accurate financial records. Responsible for accounts payable, reconciliation of accounts, quarterly taxes, and annual review with accountant.
- Client Relations: Enhance client satisfaction by responding to client questions, ensuring their experience was pleasant, and concerns addressed. Address client concerns and manage client feedback to improve services.
- Compliance and Safety: Ensure all clinic operations adhere to local regulations, veterinary industry standards, and workplace safety protocols.
- Marketing and Outreach: Develop strategies for promoting the clinic’s services, including social media and website management, community engagement, and partnerships with local businesses.
- Facility Maintenance: Oversee the maintenance and cleanliness of the clinic. Ensure that medical equipment is regularly serviced and operational.
Qualifications
- Education: High school diploma or equivalent. Bachelor’s degree in veterinary or business-related field preferred.
- Experience: Minimum of 2 years in a management role within a veterinary clinic or similar small business setting.
- Skills: Strong organizational skills, excellent communication abilities, and proficiency in veterinary software (EzyVet) and financial management tools (QuickBooks, Excel, Word, Paylocity).
- Certification: Professional certifications such as CVPM (Certified Veterinary Practice Manager) or LVT are highly desirable but not required.
- Personal Attributes: Decisive, detail-oriented, ability to prioritize and multi-task, capable of handling stressful situations in a calm and professional manner, ability to motivate and empower others, can promote cohesion and well-being .
Working Conditions
The Veterinary Practice Manager works primarily onsite. This role involves interaction with staff, clients, and vendors, and requires occasional evening or weekends to meet the needs of the clinic.
